DUTIES OF LEWIS PTA BOARD MEMBERS
PRESIDENT:
The president shall preside at all meetings of the local PTA unit and shall be an ex-officio member of all committees, except the nominating committee, on which the president shall not serve. Shall appoint special committees, except the nominating committee; Shall send to the Oregon PTA office and the Council president the name, address, and phone numbers of the newly elected officers immediately; and shall coordinate the work of the officers and committees of the local PTA/PTSA unit in order that the Purposes may be promoted. Sign Contracts.
*This position may be filled by 2 volunteers working together as Co-President's.
VICE-PRESIDENT:
In the absence or inability of the president to serve, the president-elect or vice-presidents in their order shall temporarily perform the duties of the president; shall assist the president when called upon. Additional duties of the Vice-President shall be Membership Manager (keeping track of Lewis PTA Members, and electronically entering our members to the Oregon PTA office; shall keep a complete roster of members and the membership of all standing committees. The Vice-President shall also be in charge of compiling a list of Volunteers, and getting such list to event committees as needed.
SECRETARY:
The PTA secretary should attend all PTA general and board meetings. Minutes for general meetings are taken and read at the next meeting. It is important to record may include writing letters of support on behalf of the committee, entering membership information or any other record keeping duties. In the absence of the president and the vice-president(s) or their inability to act, the secretary shall temporarily perform the duties and exercise the powers of the President
FUNDRAISING COORDINATOR:
To organize and lead a committee of volunteers to plan our fundraising efforts for the year. You would also meet and work with the Lewis community while planning these endeavors. Be available throughout the year to attend board meetings, to update and communicate the committee's fundraising efforts with the rest of the Lewis PTA Board members.
TREASURER:
The treasurer shall have custody of all of the funds of the local PTA unit, shall keep a full and accurate account of receipts and expenditures; and in accordance with the budget adopted by the local PTA unit, shall make disbursements as authorized by the president, executive committee, or association. The treasurer shall present a financial statement at every meeting of the local PTA unit and at other times when requested by the executive committee and shall make a full report at the meeting at which new officers officially assume their duties. The treasurer shall be responsible for the maintenance of such books of account and records. The treasurer shall have checks or vouchers signed by two persons, the treasurer and one other person not residing in the same household. The Treasurer shall turn in a monthly report to the PTA President 1 (one) week prior to the monthly PTA General Meeting of all monies paid or received for budget line items. In the absence of the president, the vice president(s) and the secretary or their inability to act, the treasurer shall temporarily perform the duties and exercise the powers of the president.
AUDITOR:
An audit of the financial books and records is required by the Unified Local Unit Bylaws. Purpose is to certify the accuracy of the books and records of the treasurer at year-end. After the end of the PTA year, the auditor will request the books and records from the treasurer, and check beginning balances, test a sample of transactions to make sure checks are signed correctly, deposits are made on a timely basis, property documentation is provided for expenditures, membership dues have been accounted for separately, special purpose funds are properly accounted for, and prepare an audit report.
